Administrative Coordinator

SUMMARY

The Administrative Coordinator will work out of the Dillsburg, PA headquarters providing administrative support to Hope Walks’ national clubfoot programs throughout the world.  He/She will provide administrative support to the President and other U.S.-based staff.  The ideal candidate will need to take initiative and be task-oriented in order to provide optimal support to the organization.  This part-time position will report to the President.  

RESPONSIBILITIES 

  • Provide executive support to the President through general administrative tasks, manage meetings and scheduling, and other organizational processes as assigned.
  • Manage submission of invoices to accounts payable and other receipts of organizational expenses.
  • Support the donor relations teams in processing donations and completing data entry into Hope Walks’ customer relationship management database.
  • Research and complete data entry such as assisting with international documentation, processing proposals and reports, and maintaining databases.
  • Assist with travel arrangements to include travel visas, transportation arrangements and accommodations.  
  • Support the coordination of events planning and execution.
  • Manage the office logistics, team calendar,  and office supplies.
  • Manage phone calls and general email inquiries.

QUALIFICATIONS

  • High school diploma or equivalent required.  Bachelor’s degree preferred.
  • 2+ years of experience with a non-profit or ministry organization.  Experience with an international organization is a plus. 
  • Excellent organizational skills and attention to detail.
  • Ability to work independently and take initiative on self-started projects 
  • Excellent knowledge of common technology: Microsoft Office, Google Drive, CRM databases.
  • Personal faith in Christ and commitment to the mission of Hope Walks.
Communication Intern

SUMMARY

The communication intern will assist with a number of projects related to producing content to feed Hope Walks’ social media, blogs and other channels. The position ideally will be based in the US office currently located in Dillsburg, PA, but remote options will also be considered.

The unpaid internship in the Spring 2022 semester will focus heavily on social media. The successful candidate will be able to demonstrate a strong understanding of what works in social media and how to take advantage of it to advance the mission of Hope Walks.

 

RESPONSIBILITIES 

  • Produce content on a weekly basis that will be used in various channels of communication, including web, blogs, social media, email  and print
  • Special event support for in-person/remote gala and Hope Hikes
  • Create weekly and monthly social media schedules with both written and visual content
  • Write  two-three patient stories each week for use on website blog

QUALIFICATIONS

  • Must be working toward a degree in communication, marketing, journalism, English or other related fields.
  • Working knowledge of AP Style preferred
  • Working knowledge of social media platforms, tactics and strategies
  • Exceptional written and oral communication skills – including the ability to clearly convey and incite passion
  • Some graphic design experience and skills a plus but not required (Adobe Creative Suite and Canva)
  • Strong organizational skills, time management
  • Personal faith in Christ and commitment to the mission of Hope Walks

Program Specialist

SUMMARY

The Programs Specialist will work out of the central Pennsylvania office providing support to the daily operations of Hope Walks international programs and US fundraising activities.   He/She will provide multi-disciplinary support to the Hope Walks leadership team, development team, and the international country programs.  The ideal candidate will need to take initiative and be task-oriented in order to provide optimal support to several departments within the organization.  This full-time position will report to the President.  

RESPONSIBILITIES 

  • Support the organization’s communications activities by preparing patient stories, writing reports, organizing content, and other duties in collaboration with the Communication & Marketing Coordinator.
  • Provide assistance to the global programs leadership team and technical officers in their coordination of country programs, trainings, meetings, and development of resources.
  • Manage communication and fulfillment of donor requests for fundraising materials and lead grassroot initiatives that grow the organization’s donorbase.
  • Process donations in collaboration with the Donor Relations Coordinator and entering data in Hope Walks’ customer relationship management (CRM) database.
  • Process requests for accounts payable, provide support for completing expense reports of US and international staff, and assist in the implementation of financial processes and procedures for Hope Walks’ international programs.
  • Coordinate special events for fundraising purposes and international staff gatherings.
  • Support the US office by managing supplies inventory, meetings scheduling,  general administrative tasks, and phone calls and emails.
  • Assist with travel arrangements to include travel visas, transportation arrangements, accommodations, and writing supporting documents.

QUALIFICATIONS

  • Bachelor’s degree required in communications, finance, business, international relations, or a ministry-related field.  
  • 2+ years of experience with a non-profit or ministry organization.  Experience with an international organization is a plus. 
  • Excellent knowledge of common technology: Microsoft Office, Google Drive, CRM databases.
  • Excellent written and oral communication skills; experience writing content for a non-profit organization strongly desired.
  • Strong project management skills.
  • Demonstrated ability to work independently and take initiative on self-started projects is required.
